▶ What do I do if I have converted a sales invoice to a receipt in error?

Sales invoices can be raised to customers to charge for the supply of goods and services. When a customer makes a payment the sales invoice should be converted to a receipt to record the amount received. Some common mistakes and how to rectify them are as follows:

 

A sales invoice has been converted to a receipt in error

If the convert to receipt process has been carried out against the wrong invoice then the easiest way to rectify is to simply zero the receipt:

• Go to Transactions → Receipts.
• Locate the receipt (use Quick Search) and click in to it to edit it (three little dots → Edit).
• Amend the values to 0.00. A note can be added if required, e.g. converted in error.
• Save to update.
• The invoice will be updated to show as PART PAID. This is because it has a linked receipt, even if it has been edited to a 0.00 amount.
• When convert to receipt is selected against the invoice again the full amount will be available to be converted.

A sales invoice has been converted in full but the customer has only part paid

When converting a sales invoice to a receipt you will have the option to untick lines that have not been paid. If there is only line on the invoice or a customer has paid only part of a line then the line on the invoice must be converted in full. When the receipt is created it should be edited to reflect the amount actually received.

If a receipt has been created and saved for the wrong amount it can be edited to correct:

• Go to Transactions → Receipts.
• Locate the receipt (use Quick Search) and click in to it to edit it (three little dots → Edit).
• Amend the line values to the amounts actually received.
• Save to update.
• The invoice will be updated to show as PART PAID. 
• When convert to receipt is selected against the invoice again the remaining balance will be available to be converted.
